Applicant management made easy
As soon as your job posting is live, applications come together in the applicant pipeline. This article shows how to keep an overview, document decisions transparently for your team and give candidates timely feedback.
Understanding the pipeline
You will find the pipeline in the employer dashboard under "Applicants". Every application moves through the statuses New, Under review, Screening, Interview, Offer, Hired and Rejected. In the Kanban view you drag candidates into the next column; the list view is ideal for sorting and filtering by job, status, match score or favourites.
Reviewing new applications
Open an application to see the candidate's CV, cover letter and profile. The match score gives a first assessment but does not replace your own look at the documents. Set applications you want to pursue to "Under review" – this shows the candidate that their documents have arrived.
- Mark strong candidates as favourites so you can find them again quickly.
- Use the search by name, skills or location when you have many applications.
- Review new applications within a few days if possible – good candidates are snapped up quickly.
Notes and ratings
You can add internal notes to every application. These are visible only to your company, never to the candidate. Record why someone progresses or not, and who spoke to the person and when. This keeps decisions traceable even when several people are involved in the process.
Scheduling interviews
Create an interview directly from the application: choose the type (on-site, phone or video), date, time and location or link. The candidate automatically receives an invitation and the application moves to the "Interview" status. After the conversation you can record a rating and notes; all appointments are listed together under "Interviews".
Communicating with candidates
Clarify follow-up questions, interview slots or additional documents through the message center. Each conversation is linked to an application so your team knows the history. Candidates are notified by email and reply directly on the platform.
Rejections and closing
Rejections are part of good practice too: set applications you will not pursue to "Rejected" promptly so candidates have clarity. A short, friendly message is appreciated by many applicants and strengthens your employer image.
Once the position is filled, set the successful application to "Hired" and close the posting. Interesting candidates who did not make it this time can be saved for future positions.
Tip
Agree on clear rules within your team about what each status means and who may set it. A pipeline everyone understands the same way saves queries and prevents candidates from being overlooked.
